Adobe LiveCycle Conent Services ES2
Share, manage, and retain content
The AdobeŽ LiveCycleŽ Content Services ES2 module extends your investment in other LiveCycle ES2 modules, enabling you to build content-rich applications rapidly with a low total cost of ownership. It provides a fully integrated set of content services, ranging from an enterprise content repository to social collaboration tools such as enterprise forums.
HOW IT WORKS
Define content spaces using LiveCycle Content Space, and collaborate on content creation. Attach rules to content spaces to trigger automated actions, such as applying rights policies to stored content using Adobe LiveCycle Rights Management ES2 capabilities. Use additional LiveCycle modules to deliver automated processes interacting with the content, such as content review and approval processes.
Key capabilities
Manage content through enterprise library services
AdobeŽ LiveCycleŽ Content Services ES2 offers comprehensive library services that can be used in conjunction with other LiveCycle modules. You can create content spaces to easily share and collaborate on content development as part of your overarching business processes. Avoid compromising other people's work by versioning content and using check-in/checkout capabilities to update it. The module keeps a complete audit history of all actions taken on content, helping to reduce the risk of compliance issues.
Integrate content with enterprise business processes
With the Adobe LiveCycle Process Management ES2 module, your team can easily implement end-to-end processes that interact extensively with content created at any point in the process. Processes can thus be initiated based on content events, such as the addition of a mortgage application or a claims form to the content repository. Within process tasks, process participants can generate content that is automatically managed by Content Services ES2, such as the creation of documentation on new drugs as part of a New Drug Introduction process. Moreover, process steps can be easily configured to wait for content events before proceeding to the next step.
Streamline content reviews
Content Services ES2 works in conjunction with other LiveCycle ES2 modules, such as PDF Generator, ReaderŽ Extensions, Rights Management, and Process Management, to enable business users to manage ad hoc content reviews without involving IT. Using an intuitive interface, users can publish content; create a list of reviewers (including ones outside the organization); and define approval stages, deadlines, and escalation guidelines. The content is then automatically converted into PDF, enabled for inline commenting, rights protected, and distributed. Users can monitor and modify the process at any time.
Archive content according to your retention policies
Content Services ES2 enables you to archive content, such as user-submitted form data and converted PDF files, based on established retention policies. When used in combination with the Adobe LiveCycle PDF Generator ES2 or LiveCycle Output ES2 modules, this content can also be converted into PDF/A before it is archived.
Automate transformation of content into Adobe PDF
Content Services ES2 is tightly integrated with PDF Generator ES2, enabling automatic conversion of content into PDF. For instance, you can configure a content space so that as content matching specific criteria is updated or added to the repository, the content is instantly converted into PDF. Content can also be manipulated through a series of transformation services for more complex transformations, such as automatically assembling a set of documents within a shared space into a PDF file and converting it into PDF/A for archiving.
Automatically apply rights management to content based on access permissions
Content Services ES2 offers access controls at the user, group, and role level, and it supports single sign-on through NTLM or LDAP. For advanced security, deploy the Adobe LiveCycle Rights Management ES2 module in concert with Content Services. Rights Management ES2 enables administrators to assign access control permissions to content stored within the repository and have those permissions follow documents as they are taken out of the repository - even if they are saved to a hard disk, sent via e-mail to someone external to the organization, or placed on USB devices. Applying rights management to documents lets users dynamically change policies for access control, revocation, revision control, and audit trails even after copies of documents have been extracted from the repository.
Classify content and rapidly locate critical business data
Content Services ES2 allows your team to categorize all content with custom hierarchical classifications. You can then perform powerful parameterized searches using a combination of custom classifications, word-based matching, and additional content metadata, such as content type, author, date, and location, to quickly find critical business information.
When used with Process Management ES2, Content Services allows you to perform searches based on the processes and content used throughout execution. For example, a court clerk can search for all outstanding processes related to a case filing. When used with the Adobe LiveCycle Forms ES2 module, all forms and associated data are stored and indexed in the repository. Content Services can also automatically extract and classify data from submitted forms as well, enabling easier reuse and advanced search capabilities. For example, a loan officer can easily search for all car and home loan forms submitted by a customer in a specific time frame.
Collaborate with team members as part of your processes
Content Services provides team collaboration capabilities, including forums and discussions, which can be included in user-centric applications and processes. Forums contain topics that include posts from different users. For instance, a hiring process can have a step that creates a forum for each new candidate, and it enables the hiring manager to invite others to provide their feedback as part of the review process.
Access content through Microsoft Office and shared folders
In addition to offering users a web interface to access and manage content, Content Services provides Microsoft Office plug-ins that enable business users to interact with the process engine and content repository using Microsoft Word and Excel. Based on their security profile, team members are able to check in, check out, and add new documents directly from Microsoft Office products. Network folders are also provided as another interface to content spaces in the content repository, giving users the option to manage their content transparently through simple drag and drop.
